• Prepares correspondence, forms, memorandums, reports Hotel Policies and Procedures, Personnel Procedures, house rules.
• Maintain and updates:
a. All personnel, correspondence and subject files
b. A record of all outgoing mail
c. Records of office equipment, forms, stationary, and other supplies required for use by department.
d. All relevant legislation.
e. The hotel’s manpower inventory.
f. Employee data and related statistics.
g. Other records, data and/or statistics as may be required by management.

• Assists the Personnel Manager in short listing, interviewing, selecting and recruiting candidates for vacant, non-managerial, and-executive positions.
• Answers or places phone calls to schedules appointments for interviews, meetings, etc. for or by the Personnel Manager.
• Notifies the Personnel Manager of any deficiencies in the performance of department equipment, fittings, inventory forms, stationary, and other supplies. Initiates requisitions accordingly
• Prepares data on medical claims for annual evaluation.
• Prepares employees medical card records.
• Maintain up-to-date employee absence/ attendance records and prepares monthly reports for Human Resources Manager.
• Completes other duties required by Management.
• Maintains a directory of a hotel personnel and executives, and sends-out appropriate birthday greetings or letters of recommendations.
• Conducts preliminary screening, interviewing and testing of job applicants. Sends replies and notices to job applicants, schedules interviews with the Personnel Manager or Assistant and department heads concerned, coordinates completion of final requirement of qualified and acceptable applicants, authorizes issuance of uniforms, lockers and time cards
• Prepares and takes charges of personnel requisitions, additions to payroll and requests for payroll charge such as promotions, transfer and resignations. Consults and coordinates with department heads prior to approval of the Personnel Manager and Management.
• Assist the Human Resources Manager in the smooth and efficient running of the Department, ensuring that all the policies and procedures outlined in the Department operations manuals are strictly adhered to.
• Assists the Executive Committee in identifying training needs within each department.
• Plans and monitors the Hotel Training Plans.
• Assists with the compilation of the Departmental Operational Manuals.
• Assist with the monitoring of the Departmental Operational Manuals.
• Responsible for the security and maintenance of the hotel training rooms, training equipment and materials.
• Advise the Personnel Manager of any new support material that would be beneficial to the hotel.
• Ensure that the recommended quotas of department trainers are trained for each department.
